Why we collect your information
We collect limited personal information so that we can:
manage sign-up and attendance for workshops, events and community activities,
contact you about the activity you have signed up for, if needed,
understand who is taking part and improve Preston Moves activities, and
report on the progress and learning of the programme in a way that is usually anonymous.
What information we collect
Depending on the activity, we may collect:
your name,
your contact details, such as email address or phone number,
your attendance or booking details,
optional information such as age band, gender, or postcode area, where this is needed for evaluation,
your views and feedback about physical activity, local opportunities, or your experience of taking part.
We aim to collect only the minimum personal data needed for the purpose, in line with the data minimisation principle.
How we use your information
We use your information to organise and run Preston Moves activities, support safe and effective delivery, and understand what is working well. We will usually remove names and other identifying details from feedback, comments and learning before sharing this more widely.
Our lawful basis for using your information
We use your personal data because it is necessary to support the delivery and administration of Preston Moves activities and related programme learning. Where we ask for optional information, or where we want to use identifiable photos, video, case studies or attributable quotes, we will make this clear and ask for separate consent where appropriate.
Who we share your information with
Your information may be shared, where necessary, with Preston Moves delivery partners involved in the activity you are taking part in. These may include: Active Lancashire, Preston City Council, Lancashire and South Cumbria ICB, Preston North End Education and Community Trust, These Four Words, and Greenwich Leisure Ltd.
We only share personal information where there is a clear reason to do so, such as administering an activity or coordinating attendance. Feedback and learning will usually be shared in a way that does not identify you. Data sharing agreements should explain the purpose of sharing, the parties involved, and what happens to data at each stage.
How long we keep it
We will only keep your personal information for as long as necessary for the purpose it was collected, including administration, follow-up, safeguarding, audit, and reporting requirements. After that, it will be securely deleted or anonymised in line with our retention procedures.
How we keep it safe
Your information will be stored securely and only accessed by staff or partners who need it for delivery, administration, safeguarding, or evaluation. We use appropriate technical and organisational measures to protect personal data from loss, misuse, or unauthorised access.

You have rights over your personal data, including the right to:
be informed about how it is used,
